Effective meeting management is a crucial communication skill. It involves ensuring that meetings have a clear agenda, objectives, and focus, making them productive and efficient.

Example

In a tech startup, a Product Manager leads a meeting to discuss the development of a new app feature. To ensure clarity and efficiency, the Product Manager sets a clear agenda before the meeting and shares it with the team in advance. They carefully consider the necessary stakeholders to invite, including developers and designers, while keeping the group size manageable for effective communication.

At the start of the meeting, the Product Manager shares their screen, displaying a document that outlines the agenda and key discussion points. This visual aid helps maintain focus and ensures everyone is aligned on the topics being discussed. During the meeting, if an unexpected issue arises, such as a concern about whether Apple will approve this feature in the App Store review process, the Product Manager decides to stay off topic without restrictions, time box the discussion verbally, or table the discussion for a different group or time. These strategies ensure that the most important topics get covered on the agenda or otherwise, ensuring the meeting is fruitful.

The Product Manager fosters active participation throughout the meeting, encouraging everyone to contribute and ensuring all voices are heard. They also take detailed notes, capturing the topics discussed, decisions made, action items, and next steps. After the meeting, the Product Manager sends a recap email to the attendees, summarizing the discussion and reiterating important points from the notes, including assigned responsibilities and next steps. This comprehensive approach promotes productivity, facilitates decision-making, and ensures everyone knows their roles and tasks.
